Job Summary

The Executive Assistant provides high level , proactive administrative and operational support to multiple senior global executives. This role is critical to enabling the Executive Leadership Team to operate effectively by managing complex schedules, communications, and priorities, while exercising sound judgement, discretion, and confidentiality at all times .

Primary duties

Executive Support

-
Provide end - to - end executive support to multiple executives, managing competing and complex stakeholder environments

-
Anticipate executive needs and proactively resolve issues before they arise

Act as a trusted gatekeeper, managing internal and external interactions on behalf of executives

-
Coordination and organisation across executives and teams (rather than just 1:1 support)

Diary, Travel & Meeting Management

Coordinate complex and frequently changing calendars across multiple time zones

-
Schedule executive and Board meetings and key stakeholder engagements

-
Organise domestic and international travel, including visas, itineraries, and logistics for executives

-
Prepare agendas, briefing packs, presentations, and meeting papers

-
Take accurate minutes and track follow - up actions where required

Communication & Stakeholder Management

Manage executive correspondence, including emails, calls, and written communications

-
Liaise confidently with senior internal stakeholders, Board members, external partners, and advisers

-
Draft, review, and edit high quality correspondence and reports

-
Strong digital capability and confident in adopti ng and leveraging collaboration tools

Operational & Administrative Support

Support governance processes, including ASX, Board and committee administration (where applicable)

Maintain executive records, documentation, and filing systems

-
Assist with expense management, invoicing, and budget tracking

-
Coordinate executive events, offsites, and leadership forums

Confidentiality & Professional Judgement

Handle highly confidential and sensitive information with discretion and integrity

Exercise sound judgement when representing executives and making decisions on their behalf

E xperience

Demonstrated experience as an Executive Assistant supporting multiple senior executives , C- Suite and Executive Leadership teams

Exceptional organisational and time management skills with the ability to prioritise effectively

Comfortable with decision making and prioritisation

Strong written and verbal communication skills

High level of professionalism, discretion, and emotional intelligence

Proven ability to work autonomously in a fast - paced, complex environment

Advanced proficiency in Microsoft 365 (O365) , including:

Outlook (complex diary and inbox management)

Teams (meetings, channels, collaboration)

Word, Excel, and PowerPoint (executive level documents , reporting and presentations)

Strong working knowledge of SharePoint , including:

Document management and version control

Creation and maintenance of team or executive document libraries

Supporting collaboration and information sharing across executive and Board materials

Confidence adopting and optimising digital tools to improve executive and team effectiveness
