JOB SUMMARY
Under minimal supervision, the Event Set‑Up Technician supports the setup, operation, and breakdown of events. This role ensures event spaces are safe, organized, and ready by following work orders and procedures, while assisting with equipment, basic AV needs, and customer service to ensure successful events
SPECIFIC DUTIES AND RESPONSIBILITIES
The following duties are representative but not all‑inclusive
Event Operations
- Transport, set up, reconfigure, and break down event equipment (tables, chairs, staging, AV equipment, etc.)
- Read and interpret work orders, diagrams, and setup instructions
- Perform basic custodial and grounds tasks to maintain cleanliness and readiness of event spaces
- Follow safety protocols during load‑in/load‑out and equipment handling
- Assist with basic troubleshooting of AV and event equipment
Customer Service
- Greet clients, guests, and vendors in a professional and courteous manner
- Provide directions, answer general questions, and support event registration activities
- Escalate complex issues to supervisors or appropriate departments
Administrative Support
- Collect, enter, and maintain accurate event setup data and documentation
- Track work orders and update status as required
Room Detailing
- Conduct final room inspections to ensure proper arrangement, cleanliness, and readiness
- Adjust layouts and correct deficiencies prior to event start
Additional Responsibilities
- Complete all other duties and responsibilities as assigned.
QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS
- High school diploma or equivalent
- One (1) year of related experience in event setup, facilities support, or similar field (preferred)
- Valid Florida driver’s license
- Knowledge of safe handling, transport, and setup of event equipment
- Ability to operate equipment such as carts, lifts, ladders, and basic tools safely
- Basic understanding of audio‑visual equipment setup and troubleshooting
- Ability to follow verbal and written instructions, including diagrams
- Strong customer service and communication skills
- Ability to work independently with minimal supervision
- Ability to collaborate effectively with faculty, staff, and external clients
- Ability to perform physically demanding tasks (lifting, standing, moving equipment)
PHYSICAL DEMANDS

- Mobility: Frequent standing, walking, and moving between event spaces for extended periods (often 6–8+ hours during events)
- Lifting/Carrying: Regular lifting, carrying, pushing, and pulling of equipment weighing up to 50 pounds , and occasionally up to 75 pounds with assistance or equipment
- Manual Dexterity: Frequent use of hands and arms to handle, position, and secure event equipment, tools, and audio‑visual components
- Postural Activities: Routine bending, stooping, kneeling, crouching, and reaching (including overhead) to set up and break down equipment
- Climbing: Ability to safely climb ladders and use lifts or platforms when required
- Vision: Close, distance, and peripheral vision required for equipment setup, safety awareness, and reading diagrams/work orders
- Coordination: Good hand‑eye coordination for operating tools, equipment, and basic AV systems
- Environmental Exposure: Work is performed both indoors and outdoors, with possible exposure to:
- Heat, humidity, and varying weather conditions
- Noise from events and equipment
- Dust and cleaning materials
- Work Schedule Demands: Ability to work evenings, weekends, and irregular hours based on event schedules
