  • $48,000 - $55,000 per year; DOE

The Pat Tillman Veterans Center seeks a highly organized, collaborative and service-oriented Events and Business Services Manager to lead the planning, coordination and execution of signature events and ongoing engagement programs for the center. Reporting to the Director of Development and Strategic Partnerships, this position will manage a varied portfolio of events that advance PTVC's mission, strengthen community engagement and support military-affiliated student success.

This is a five-day per week, in-person position based primarily at the Pat Tillman Veterans Center's stadium location. The position may also work at other ASU campuses, venues or community locations as necessary based on event schedules, logistics and program needs.

The Events and Business Services Manager will oversee major PTVC signature events, employer engagement events, physical fitness and social activities connected to the FitVet initiative, and a major speaker series hosted by the Pat Tillman Veterans Center. This role will work across PTVC teams to ensure events are strategically aligned, well communicated, inclusive of key stakeholders and executed with excellence.

In addition to event leadership, this position will support the center's business operation’s needs, including purchasing, ordering supplies, coordinating event-related materials, tracking expenses, working with vendors and supporting administrative processes in accordance with university policies and procedures.

Essential Duties

  • Plan, coordinate, and execute PTVC signature events, employer engagement events, FitVet-related physical fitness and social activities, speaker series events and other programs as assigned.
  • Develop and maintain an annual event calendar in collaboration with the Director of Development and Strategic Partnerships and PTVC leadership.
  • Serve as the primary project manager for assigned events, including timelines, planning meetings, logistics, staffing plans, run-of-show documents, vendor coordination, and post-event follow-up.
  • Coordinate across PTVC teams to ensure programmatic goals, student engagement priorities, employer and partner needs, communications, development opportunities, and operational requirements are incorporated into event planning.
  • Work with internal and external partners, including employers, community organizations, speakers, donors, alumni, student groups, campus partners, and university departments.
  • Coordinate event logistics including space reservations, catering, A/V and technology needs, registration, signage, parking, transportation, accessibility needs, staffing, volunteer support, set-up and tear-down.
  • Support pre-event and post-event communications in coordination with appropriate PTVC and ASU communications partners.
  • Manage event budgets, track expenses, process purchasing requests and ensure expenditures are aligned with university policies and approved funding.
  • Coordinate ordering of supplies, materials, promotional items, event equipment, and other business needs for PTVC programs and events.
  • Learn and apply ASU business processes related to procurement, vendor payments, reimbursements, purchasing cards, supply orders, and related administrative functions.
  • Review vendor agreements, invoices, receipts and final billings for accuracy and routing through appropriate university processes.
  • Maintain accurate records of event plans, vendor information, budgets, attendance, outcomes, purchases, and other relevant documentation.
  • Support evaluation of event effectiveness, including attendance, stakeholder feedback, engagement outcomes, and recommendations for continuous improvement.
  • Represent PTVC at events and meetings with professionalism, cultural awareness, and a strong commitment to service.
  • Assist with special projects and other duties as assigned to support the goals of the Pat Tillman Veterans Center.

Desired Qualifications

  • Experience planning and executing events in higher education, nonprofit, military-connected, veteran-serving, employer engagement, advancement, or community-facing environments.
  • Experience managing multiple events or projects simultaneously from concept through execution and evaluation.
  • Experience coordinating high-profile events, speaker series, employer events, donor or partner engagement events, fitness/wellness events, or student-centered programs.
  • Demonstrated knowledge of event logistics, including venue coordination, catering, A/V, registration, staffing, vendor management, and day-of-event execution.
  • Experience developing and managing event budgets and tracking expenses.
  • Experience with procurement, purchasing, vendor payments, supply ordering, or related business services.
  • Evidence of effective communication skills.
  • Demonstrated ability to build and maintain effective working relationships with varied internal and external stakeholders.
  • Experience working with military-affiliated students, veterans, service members, military families, or veteran-serving organizations.
  • Ability to exercise discretion and maintain confidentiality when handling sensitive information.
  • Demonstrated customer-service orientation and ability to represent an organization professionally with students, staff, faculty, alumni, donors, employers and community partners.
  • Ability to work independently, take initiative, solve problems and adapt quickly as priorities change.
  • Experience with event management platforms, registration tools, project management tools, spreadsheets or university administrative systems.
  • Knowledge of ASU policies, procedures and business operations, or ability to learn them quickly.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
  • Frequently required to stand for varying lengths of time and walk moderate distances to perform work.
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds may be required for event set-up and tear-down.
  • Regular activities require the ability to quickly change priorities, which may include and/or be subject to resolution of conflicts.
  • This role is expected to work five days per week in person, primarily from the PTVC stadium location, with work at other locations as needed for events.
  • May be required to work evenings or weekends in support of events and programs.
  • May be required to perform tasks in the field within and/or across ASU campuses and community locations.
  • Ability to clearly communicate to perform essential functions.
