Job Description
Job Description – Specialist, Travel Administration
About the role
The Specialist owns the operational backbone of CDK’s travel program: Concur Travel administration, the CTM agency relationship, and preferred supplier programs across air, hotel, car rental and ground transport.
The role sits between CDK travelers, the CDK Global Travel Manager and suppliers such as CTM, United, Delta, Southwest, Avis Budget, Enterprise/National, Uber and the preferred hotel chains. Over 6–12 months the trainee moves from executing the Travel Administration SOP to leading supplier reviews, reporting and process improvement, with a path to Travel Category / team lead responsibility.
Key responsibilities
1. Concur Travel administration (system owner)
- Act as Concur Travel Administrator for the US and Canada configurations: company notes, custom text and travel policy rule classes (Employee, Employee Approve, Non-Employee, No Approval, VIP).
- Keep T&E policy rules programmed correctly in Concur, including approval vs. manager-notification logic and rules such as the 10+ employees-per-flight alert.
- Manage traveler profiles; resolve profile and SSO issues with IT and the Expense team; fix GDS sync errors (e.g., special characters) with CTM.
- Raise and track Concur Support cases for rule changes and configuration requests.
2. Travel agency (CTM) management
- Run the biweekly CTM account calls; make sure open items are on the agenda and closed.
- Pull pre-trip (Swift Data) and post-trip (CTM Data Hub) reports for security, RFP and management needs.
- Review scheduled reports, traveler communications and PNR manager notifications quarterly (e.g., airfare above $1,000, international travel, tickets issued within 14 days, low-fare threshold breaches).
- Review the monthly unused-ticket report and drive adjustments.
3. Airline program management
- Schedule and run quarterly business reviews with United, Delta and Southwest; action the follow-ups.
- Process annual ELT status upgrades through airline portals, with Travel Manager sign-off.
- Manage United Jetstream amenity funds and the American Airlines Business Extra vouchers before expiry.
- Pull ad-hoc CO2 and contract-performance reports from airline portals.
4. Hotel, car rental and ground transport programs
- Support the annual transient hotel RFP with CTM’s hotel analyst (prep starts in March for July–June rates); load and verify preferred rates and rate caps in Concur.
- Maintain preferred and blocked hotel rules and chainwide agreements in Concur.
- Manage the Avis Budget (primary) and Enterprise/National (secondary) programs: quarterly reviews, monthly service calls, Chairman’s Club slots for ELT, and twice-yearly Wizard-number profile audits.
- Verify car accident insurance claims against CTM/Concur data; send monthly fuel-charge emails to renters.
- Drive Uber/Lyft for Business enrollment; share The Parking Spot and Park ’N Fly Canada savings reports.
5. Non-employee and international travel
- Process non-employee (contractor) Concur profile requests and run the monthly contractor audit to deactivate leavers.
- Make sure contractor org units trigger the correct central-bill (air) and direct-bill (Avis Budget) set-up.
- Keep International Travel Guidelines current (quarterly review); support visa and passport processing through CIBT.
6. Stakeholder service and ELT support
- Manage the CDK travel and expense mailbox and resolve traveler queries within the agreed turnaround.
- Handle ELT and Executive Admin requests with priority, in coordination with CTM Executive Travel Services.
- Escalate travel emergencies and security concerns to CDK Security immediately.
- Work with Expense Compliance, Corporate Card and Corporate Communications teams on receipts, audits and announcements.
7. Communications, programs and surveys
- Keep the T&E Portal (Travel and Meetings pages, T&E News, FAQs) current; get Travel Manager approval before posting.
- Run the annual traveler survey with Market Research (travelers with 3+ trips since July 1) and present a year-over-year results deck.
- Monitor the Dinova dining rebate program and keep the new-hire travel document current on the HR onboarding site.
8. Budget, procurement and projects
- Pull the prior-year invoice report from Oracle Cloud and prepare the travel budget forecast for stakeholder approval.
- Raise the PR in Oracle Cloud, follow up until it converts to a PO, and share PO details with CTM and AP.
- Support travel RFPs, contract renewals and supplier negotiations as directed by the CDK Global Travel Manager.
9. Management track
- Maintain and update the Travel Administration SOP, process maps and exception log.
- Identify automation and efficiency opportunities and present business cases.
- Build backup coverage by cross-training team members; take part in governance reviews with Genpact and CDK leadership..
- Hands-on SAP Concur Travel experience: profiles, policy rules, approval flows and reporting. Admin-level exposure strongly preferred.
- Working knowledge of a GDS (Sabre preferred) and of how a Travel Management Company (TMC) operates.
- Experience managing airline, hotel and car rental supplier programs, including reviews and service issue resolution.
- Advanced Excel (pivot tables, lookups, data clean-up); comfortable building review decks in PowerPoint.
- Excellent written and spoken English for direct communication with US executives, executive admins and suppliers.
- Willingness to work US-overlap shifts (night shift IST).
